Welcome to the Tour of Ananthagiri (the "Event"). By registering for and participating in this Event, you (the "Participant" or "Rider") agree to comply with and be bound by the following Terms & Conditions.
1. Definitions & Agreement
"Event Organiser" refers to the management, employees, volunteers, agents, and affiliates organizing the Tour of Ananthagiri.
"Participant" means the individual named on the Entry Form registering for the Event.
Completion of the registration and entry process constitutes absolute acceptance of these Conditions.
2. Eligibility, Age Requirements & Verification
Fitness Representation: The Participant represents and warrants that they are physically fit and medically capable of participating in and completing the designated course.
Minimum Age: The minimum age for entry is 18 years old at the time of flag-off.
Personal Use Only: Registrations are purchased for personal use only and cannot be sold, donated, or utilized for commercial purposes without prior written authorization from the Event Organiser.
3. Bookings, Payments & Cancellation Policy
Full Payment Required: Registration is only valid upon successful online completion of the Entry Form and verification of 100% of the Event Fees. No participant will be permitted to flag off without cleared funds.
Strict Cancellation Policy: All registrations are final. No refunds will be issued for cancellations or withdrawals initiated by the participant under any circumstances.
Participant Substitution/Transfer: The entry is strictly non-transferable to another individual or a future event edition. Any unauthorized transfer will result in immediate voiding of the registration without refund. (Optional: If rider replacement is permitted by the organizers, it must be requested in writing at least 15 days before flag-off).
4. Rider Responsibility & Mandatory Safety Gear
Ride at Your Own Risk: The Participant agrees to be solely responsible for their actions. The Event Organiser, sponsors, or medical advisors bear no responsibility for personal injury, illness, or property damage.
Mechanical Soundness: Riders must ensure their bicycle is in a roadworthy, structurally safe condition. The Event Organiser reserves the right to inspect bicycles at registration.
Mandatory Safety Equipment: A certified cycling helmet must be worn and securely fastened at all times during the ride. Functioning front (white) and rear (red) lights are strictly compulsory during low-light, dawn, dusk, or night conditions.
Self-Sufficiency: Riders are expected to know basic mechanical repairs (e.g., fixing a flat tyre, chain slip, minor brake adjustments) and should carry their own spare tubes, tools, and hydration.
5. Traffic Rules & Road Safety
Open Public Roads: The event is conducted on open public highways and roads. Participants must share the road with vehicular traffic and strictly obey all local traffic laws, signals, and road signs.
Prohibited Riding Practices: Racing, drafting behind unauthorized vehicles, stunts, reckless riding, or any behavior endangering oneself or other participants is strictly prohibited.
6. Code of Conduct & Disqualification
Mutual Respect: Participants must treat fellow riders, volunteers, local residents, law enforcement, and event officials with the utmost respect.
Zero Tolerance Policy: Any harassment, verbal or physical abuse, or unsportsmanlike conduct will result in immediate disqualification and removal from the course.
Disqualification Terms: The Event Organiser reserves the right to remove any participant from the Event at their sole discretion for infringing rules, taking shortcuts, littering, or acting negligently. A disqualified rider shall not be entitled to any refund.
Environmental Stewardship: TOA is a green event. Littering along the route is strictly banned. Waste must be disposed of only at designated collection/aid stations.
7. Medical & Logistics Support
Best-Effort Facilitation: First-aid, medical support, mobile ambulances, hydration points, and mechanical support are provided on a facilitation service basis. They are designed to assist but do not replace the participant's personal responsibility or the need for private medical insurance.
Authority to Intervene: On-route medical staff and organizers reserve the right to stop a rider from continuing if they are deemed medically or physically unfit.
8. Force Majeure, Weather & Route Alterations
Event Alterations: The Event Organiser reserves the right to modify, shorten, postpone, reroute, or cancel the event due to extreme weather conditions, forest/government restrictions, safety hazards, or other force majeure scenarios.
No Financial Compensation: In the event of modifications or cancellations driven by safety or force majeure, the Event Organiser is not liable for any financial loss, travel costs, or accommodation expenses, and no refunds shall be due.
9. Liability Waiver & Release
Assumption of Risk: The Participant explicitly acknowledges that cycling is an inherently hazardous activity involving risks of severe physical injury, illness, permanent disability, property damage, or death.
Release of Claims: The Participant hereby releases, waives, and holds harmless the Event Organiser, promoters, sponsors, volunteers, venue partners, and supporting agencies from any and all liability, claims, or expenses arising out of injury, loss, or damage incurred during the event.
Personal Belongings: Organizers are not responsible for the security, loss, theft, or damage of bicycles, components, electronics, or personal baggage before, during, or after the event.
10. Media, Photography & Data Privacy
Media Consent: Participants grant the Event Organiser an irrevocable right to photograph, film, and record their participation. These materials may be used globally for event promotion, social media, marketing, and future publications without any financial compensation.
Privacy Statement: Participant data collected during registration will be held securely and used strictly for event logistics, safety tracking, and official communications.
